Organizing paper can really be dull! But it’s a mindless activity that you should and must do if you want a clean and sane work or home space. In fact having disorganized paper work can lead to many problems including bills not getting paid on time. So not only can this be an unsightly thing to look at but it could be costing you money.
Now that we understand the important of keeping paper neatly filed away, let’s look at how this can be done. Many people just pile it all up in one pile and shove or pack it away somewhere. This is not how you take care of paper.
One easy to implement and rather sane way of looking at paper is to sit down and write up all the categories you should – I stress should – have for paper that HAS to be kept.
For categories I use things like Bank statements, bills, letters from clients. I make each of those a category since these are files and paper I should be keeping for at least some time.
Now you’ll want to add a trash category. Everything we place in this one will be thrown away.
One you have these categories your next task is to get a large space to work with. You’ll need a large space so you can lay out each category and make piles for papers in each. So next start sorting your papers into these categories. Place each paper into that category’s pile.
Once you’ve rounded up all your paper around you place and put them all into the appropriate category your next step is deciding on a permanent filing system for each of these categories.
One thing you can do is purchase a filing cabinet or another idea is purchasing a filing box and placing vanilla folders with tabs into the box. How ever you choose to keep your records you need to make sure that it’s easy to place thing into it and easy to get things out of it. You want it to be easy so that you are more inclined to actually file the paper away now instead of just letting it pile up somewhere.
Lastly and one of the most important but hardest steps is to keep this new system in place. The more you can remain focused on filing these paper each time you get them in the mail or from where ever, the better. To keep paper organized is an on going non-stop activity.
